When you complete our contact form, request a quote, or otherwise get in touch, we collect your name, email address, phone number, company or organisation name, and any message or details you choose to provide.

(b) Event & Booking Information

When you enquire about or book an event, we collect details about the event such as the date, location, venue, event type, estimated guest numbers, and coverage requirements, so that we can provide an accurate quote and plan the service.

(c) Order & Delivery Information

When you place an order through one of our online galleries, we collect your name, email address, phone number, delivery address, the photographs and products you select, and payment information. Payment card details are processed by our payment provider (Stripe) and are not stored by us. We may also hold order status, tracking numbers, and delivery confirmations.

(d) Photography & Image Information

Photographs taken at events may include images of attendees and guests. We use these images to deliver the photography service, fulfil photo and frame orders, and — where we are permitted to do so — for our portfolio and promotional purposes. Where an event has specific requirements regarding attendee imagery, we will agree these with you as part of the booking.

We process personal information under the following lawful bases: (a) with your consent — for example, when you ask us to contact you or opt in to updates; (b) to take steps before entering into a contract with you and to perform a contract with you — for example, to provide a quote, confirm a booking, or fulfil an order; (c) where we have a legitimate interest — for example, to maintain records, improve our services, or promote our work, provided this does not override your rights; and (d) to comply with legal obligations. Where we rely on consent, you may withdraw it at any time.

1.5Data Sharing

We do not sell or rent your personal information to third parties. We may share your information with:

  • Service providers who assist us with event management, printing, framing, and delivery
  • Our payment provider (Stripe) to process payments securely
  • Legal authorities when required by law
  • Where relevant, your guests to facilitate print or framed photo delivery

1.6Data Retention

We keep personal information only for as long as we need it for the purpose it was collected, or as long as required by law. Enquiry and contact details are retained for a reasonable period to respond to and follow up on your request. Booking and event records are kept for the duration of the engagement and for a reasonable period afterwards for record-keeping. Order, delivery, and payment records are retained for accounting and tax purposes in line with our legal obligations. You can ask us to delete your information earlier where we are not legally required to keep it.

You have the right to:

  • Request correction of inaccurate data
  • Request deletion of your information

2. Terms & Conditions

2.1Agreement to Terms

By accessing and using the Echo Photo website and services, you accept and agree to be bound by these Terms & Conditions and our Privacy Notice. If you do not agree to abide by them, please do not use our services.

These terms apply to all visitors to our website, all clients who book our photography services, and all customers who purchase photographs, prints, or framed products through our online galleries. They govern the relationship between you and Echo Photo in respect of each booking and each order you place.

By placing a booking or an order, you confirm that the information you provide is accurate and complete, that you are authorised to make the purchase, and that you accept responsibility for payment of any amounts due. If you are booking on behalf of an organisation, you confirm that you have the authority to do so and that the organisation agrees to be bound by these terms.

We may update these terms from time to time. The version that applies to your booking or order is the one in force at the time you confirm that booking or place that order. Continued use of our website and services after any changes are made constitutes acceptance of the updated terms.

2.2Service Description

Echo Photo provides professional event photography services including on-site coverage, custom framing, and guest delivery. Our services are tailored to corporate events, conferences, awards galas, product launches, and similar business occasions. Service scope, pricing, and deliverables are specified in individual service agreements and quotes. We reserve the right to modify our service offerings with notice.

2.3Booking & Payment

(a) Reservations

To secure your event date, a deposit is required as specified in your quote. Deposits are non-refundable but may be applied to a future event within 12 months.

(b) Payment Terms

Full payment is due 14 days before the event date. Payment methods and invoice details will be provided in your booking confirmation.

(c) Cancellation

Cancellations must be made in writing. Cancellations more than 30 days before the event will receive a full refund minus the deposit. Cancellations within 30 days of the event will forfeit any payments made, save where a refund is required by law. Nothing in this clause affects your statutory consumer rights.

(d) Rescheduling

If you need to reschedule, please contact us as soon as possible. Subject to availability, your deposit may be transferred to a new event date within 12 months of the original booking. Rescheduling within 30 days of the event may be treated as a cancellation under clause 2.3(c).

2.4Intellectual Property

All photographs captured during your event are the intellectual property of Echo Photo. You receive a non-exclusive, perpetual licence to use delivered photos for personal and business purposes.

  • You may not resell, reproduce, or distribute photos without written permission
  • Echo Photo retains the right to use selected images for portfolio and promotional purposes, subject to any agreement made as part of your booking
  • All photos remain the copyright of Echo Photo
  • Commercial licensing is available upon request

2.5Deliverables & Timeline

Typical delivery timeframes are specified in your service agreement. These are estimates and may vary based on:

  • Editing complexity and volume of images captured
  • Custom framing and printing requirements
  • Shipping and logistics
  • Circumstances beyond our control

We will communicate any delays promptly and provide updated timelines.

2.6Online Photo Orders

Photographs and products (including digital copies, prints, and framed photos) may be purchased through our online galleries. Orders are subject to availability and are confirmed once payment is successfully processed. Prices, delivery options, and any applicable offers are displayed at the point of order. By placing an order you confirm that the details submitted are accurate.

2.7Digital Photograph Delivery

Digital photographs are delivered via a download link provided after your order is confirmed. The link remains available for a reasonable period, which will be stated when your order is delivered. You are responsible for downloading and storing your files within that period. The licence granted for digital copies is for personal use unless otherwise agreed; you may not resell or redistribute the files.

2.8Damaged, Faulty or Incorrect Orders

If you receive a damaged, faulty, or incorrect order, please contact us as soon as possible and within 14 days of delivery, with details and, where possible, photographic evidence. We will arrange a replacement or a refund as appropriate. This clause does not affect your statutory consumer rights, including your rights under the Consumer Rights Act 2015.

2.9Client Responsibilities

As our client, you agree to:

  • Provide accurate event details and timelines
  • Ensure photographer access to all event areas
  • Obtain necessary permissions for photography (venue, attendees, and any third parties)
  • Notify us of any restrictions or special requirements in advance
  • Handle delivered photos and frames with reasonable care

2.10Event Access & Permissions

You are responsible for ensuring that we have safe access to the areas where photography is required and for obtaining any permissions or consents needed for us to photograph at the venue and of attendees. If access or permissions are not available and this prevents us from providing the service, we will not be liable for the resulting limitations, save where the cause is within our control.

2.11Events Outside Our Reasonable Control

We will not be liable for any delay or failure to perform our obligations where the cause is outside our reasonable control, including severe weather, venue issues, transport disruption, or circumstances affecting public safety. Where such an event occurs, we will work with you to reschedule or find a reasonable alternative. This clause does not exclude or limit liability that cannot legally be excluded.

2.12Limitations of Liability

Echo Photo’s liability for any claim, loss, or damage arising from these terms or our services is limited to the total amount paid for the relevant services or order. We are not liable for indirect, incidental, or consequential damages, or loss of profits, revenue, or data, to the extent permitted by law. Nothing in these terms excludes or limits any liability that cannot legally be excluded or limited, including liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation. These terms do not affect your statutory rights as a consumer.

2.13Content & Website Use

You agree not to:

  • Reproduce, duplicate, or copy content from our website without permission
  • Use our website for illegal or unauthorised purposes
  • Harass, abuse, or threaten our team members
  • Attempt to gain unauthorised access to our systems
  • Transmit viruses or malicious code

2.14Indemnification

You agree to indemnify and hold Echo Photo harmless from any claims, damages, or expenses (including legal fees) arising from your use of our services, breach of these terms, or infringement of third-party rights, to the extent permitted by law.

2.15Governing Law

These terms are governed by the laws of the United Kingdom, and you submit to the jurisdiction of the courts located therein.
